Business Delegation Visa: Group Applications from Pakistan
A business delegation might be a group of exporters visiting a market, members of a chamber or association meeting a foreign counterpart, or a company team attending an exhibition. Travelling together has real advantages, but the visa process still treats each person as an individual. Here is how to prepare a delegation properly.
Every member is assessed individually
Even when you travel as a group, each member has their own application, and the embassy decides each file on its own. A strong group letter helps, but one weak file does not become strong because the others are. This is why each member needs a complete set of their own documents.
What the group shares
The purpose of the trip and the programme of meetings or events. The invitation from the host organisation, chamber or event organiser, which should list the delegation or at least name the participants. The group itinerary with dates, cities and hotels. The same arrival and departure plan, unless a member has a good reason to differ.
What each member prepares
A valid passport and photographs. A personal cover letter. Their own company documents (registration, NTN, tax records, company bank statements) or an employer letter if salaried. Personal bank statements. Proof of ties to Pakistan. Their role in the delegation and the company they represent.
Choose a coordinator
One person should coordinate the delegation, collect documents, check them for consistency and handle the appointments. Without a coordinator, small differences in dates or names between files cause delays and questions.
Book appointments early
Appointment slots for a whole group can be scarce, and consulates may need several slots. Start at least two to three months before travel and, for a fixed event, work backwards from its date. Where the system allows it, ask whether group submissions are accepted.
Keep the details identical
Company names, traveller names, dates, hotels and event names should be written the same way everywhere. Small inconsistencies are one of the most common reasons for questions.
Do not add people with weak files
Be honest about who is genuinely part of the business delegation. Adding people whose role is unclear can harm the credibility of the group.
Ali Baba Travel Advisor handles business delegations: we prepare the group letters, check each member's documents, book flights and hotels and coordinate the applications. The embassy decides each visa, and approval is never guaranteed.
